Technology for Adelaide professional services.
Accounting, legal, consulting and advisory firms hold other people's confidential information and bill for their time. That combination makes two things matter more than anything else: security you can evidence, and not losing chargeable hours to admin.
The two pressures
Confidentiality on one side, utilisation on the other.
You are custodian of client information that would be genuinely damaging if it leaked, and increasingly your larger clients and your insurer want evidence that you are handling it properly. At the same time, every hour a fee earner spends formatting a document or chasing a signature is an hour you cannot bill.
Most firms we meet have addressed neither properly, because the person who would own it is also the person with a billable target.
Who can see what
The most common finding in a professional services firm is a shared drive where everyone can see everything, including HR files and partner correspondence. Nobody intended it; it simply grew.
Where documents live
Final versions in someone's email, drafts in three places, and no reliable answer to which one is current.
What gets retyped
Client details entered into the practice system, the engagement letter, the invoice and the CRM. Four times, by an expensive person.
Documents
The paperwork that eats fee-earning time.
Document work is the most automatable part of a professional services firm, because the structure repeats even when the content does not.
- Templates that populate from client data rather than being edited by hand
- Engagement letters and standard agreements generated from a form
- Incoming documents read and filed automatically to the right matter
- Electronic signature flows with automatic reminders
- Version control, so there is one current document rather than five
- Retention and archiving that satisfies your professional obligations
- Secure client file exchange that is not email attachments
Security & compliance
Being able to evidence it, not just claim it.
Professional bodies, insurers and larger clients increasingly ask specific questions about how you handle data. Answering them well is becoming a commercial requirement rather than a nice-to-have, and the honest answer for many firms today would not survive scrutiny.
- Multi-factor authentication across everything, including remote access
- File permissions that reflect who should actually see each matter
- Email authentication so nobody can impersonate the firm to a client
- Device encryption and remote wipe for laptops holding client data
- Audit logging, so you can answer what happened and when
- Backups tested by restoring, not assumed
- An incident response plan, including your notification obligations
- A written summary you can hand to a client or insurer
Insight
Knowing your numbers without building a spreadsheet.
Most firms can tell you last month's billings and very little about utilisation, realisation, work in progress by partner or which client segments are actually profitable — because getting those numbers means an evening in Excel. Once the practice system, time recording and accounting are connected, the reporting is nearly free.
Utilisation and realisation
By person and by team, updated automatically rather than assembled monthly.
Work in progress and aged debtors
Visible continuously, so a problem is noticed while it is still collectable.
Client and matter profitability
Which work is actually worth doing, based on recorded time rather than instinct.
Questions
Before you ask us.
Do we need Microsoft 365 Business Premium?
For a firm with staff laptops holding client data, usually yes. The difference over the standard plan is device management and the more capable security tooling, which is exactly what you need to be able to evidence proper handling of confidential information.
Can you help us answer a client security questionnaire?
Yes. We can assess your environment, tell you honestly where you stand, fix what needs fixing, and provide a written summary of the controls in place. We are not lawyers and would not advise on the legal interpretation of your obligations.
Will you work with our practice management software?
We work alongside it. The specialist systems in legal and accounting are usually best left alone and connected to, rather than replaced. Our job is the platform underneath and the integrations around it.
How disruptive is fixing file permissions?
Less than firms expect, if it is planned. We map what exists, agree the structure with you, and move in stages. The disruptive version is the one done in a rush after something has already gone wrong.
We have an internal IT person. Where do you fit?
Commonly we handle the specialist pieces — a security assessment, a Microsoft 365 rebuild, an automation project — while they run day-to-day support. We are not trying to replace someone doing a good job.
What about Copilot? Is it safe for client data?
It works within your Microsoft tenancy, so your data does not go to a public model. The real risk is that it surfaces documents to staff who technically have access but should not. That is why we fix permissions before enabling it, not after.

Tell us what you need.
You do not need to know what to call it. Describe the problem in your own words and we will tell you what it takes to fix — and what it costs — before you commit to anything.
